Mercer is seeking candidates for the following position based in the Melbourne office: Project Coordinator & Team Assistant

Working within our Evolve business and as part of the highly respected Career Consulting business at Mercer the Project Coordinator will play a key role in supporting the end to end administration of multiple projects that the Delivery Team manage. In addition to ensuring that the projects hit milestones and are on track with the client timelines the Project Coordinator will provide the team with support by facilitating team meetings, writing agendas, diary management and room bookings. A large part of this role also includes proof reading reports in readiness for client presentations. The team have a diverse approach to thinking and projects and are looking for a team member who shares this disruptive mindset.

We will count on you to:

  • Project coordination activities between the flow of work between the Research, Delivery and Business Development teams
  • Proof read project plans, client proposals and reports
  • Provide a high level of support in formatting and reviewing reports in PowerPoint
  • Keep abreast of the key project deliverables and track the progress against project plans
  • Provide administrative support to the Delivery Team on various project related activities such as; binding, printing, diary management etc.
  • Maintain and upkeep the CRM systems
  • Act as first point of contact for client software maintenance activities
  • Assist with the coordination of internal/external events and functions for both Evolve and the wider Careers business including; client events, team training and social events (including invitation management, budget management, venue bookings & catering)
  • Assist with the coordination of office administration activities across the wider Careers business (including office moves, town halls, committees, new marketing templates).

What you need to have:

Being able to prioritise and manage competing deadlines is crucial to this role. You will provide varying levels of support across the team and so being able to pivot on short notice and adapt to the changing environment would be a great attribute to this position.

  • Experience working in a professional services/consulting or corporate environment
  • Track record of either project coordination or team assistant roles providing support to multiple stakeholders
  • Exceptional written communication and attention to detail to enable a high level of proof reading
  • Time management, multitasking and prioritising of competing priorities
  • Confident and demonstrated use of PowerPoint
  • Customer centric mind-set
  • Initiative and drive
