About the Department
The Research Directorate oversees research activity across St Vincent’s Hospital (Melbourne)(SVHM), including promoting and facilitating research, developing new research opportunities, providing research educational services and managing research ethics and governance.

About the Role

The Administrative Assistant position is responsible for providing administrative assistance to the Research Governance Unit, by accepting responsibility for administrative tasks including reception duties, processing mail, ordering stationary, managing the department e-mail accounts and website, managing the accounts receivable and accounts payable processes (including invoicing), assisting with processing Serious Adverse Event’s, and providing assistance with any other administrative tasks as required.

The classification for this position will be a HS1 ($58,442.80 base salary per annum).


  • Receive and check HREC and LRR applications and enter application details as required on databases

  • Provide administrative support for the Research Directorate, including database management and website maintenance

  • The incumbent will have the responsibility of managing accounts payable, petty cash, and accounts receivable

  • Maintain efficient record keeping systems

  • Be the initial contact point and provide basic information to researchers seeking advice regarding human research ethics, governance requirements, and submission of applications

Qualifications, Skills and Experience

  • Experience with reception duties

  • Proven ability to work in a team in a very busy and dynamic environment

  • Excellent written, analytical and report writing skills

  • Experience keeping data bases, website and filing systems accurate and up-to-date

  • Knowledge of MS Word and Excel, experience with database systems, such as MS Access and on-line communication packages
