A unique opportunity exists for a dynamic Personal Assistant to join the Western Public Health Unit.

The Western Public Health Unit has been established to strengthen the public health response to infectious diseases and other health issues. The Unit is part of a new system of three metropolitan Public Health Units (WPHU, North-eastern (NEPHU), South-eastern (SEPHU)) and will link with the existing six regional Public Health Units to provide a new state-wide system of public health delivery and oversight. Initially WPHU will be solely responsible for COVID-19 related activities (case investigation, contact tracing, case coordination, clinical care and outbreak management).

About the role

The Personal Assistant provides administrative support and facilitates day-to-day organisational arrangements for the Divisional Director, Director, Medical Leads and Operations Managers within the Western Public Health Unit. Duties include coordinating meetings and webinars; diary and email management; financial administration; intranet and SharePoint management; and maintaining effective working relationships with key stakeholders.

You shall have previous experience that encompasses a wide range of administrative duties, excellent time management skills and strong attention to detail. You will have high level computing skills and sound judgement combined with the ability to use initiative. You will work collaboratively with other Divisional and Organisational Personal Assistants and be based at Sunshine Hospital.

Previous Personal Assistant experience in a healthcare sector and demonstrated record of supporting and promoting hospital processes

Advanced in Microsoft Office particularly Excel, Word and Powerpoint, Videoconferencing, webinars, intranet page management

Demonstrated ability to multi-task and prioritise duties especially under pressure

Excellent time management and communication skills and strong attention to detail

High level organisational skills as well as the identification of urgent and important priorities

High level people skills, specifically regarding the management of relationships

Capacity to work as a team player

Strong sense of responsibility and ability to complete tasks with minimal supervision

Sound judgement combined with the ability to use initiative

Ability to digest, analyse and present material clearly and concisely

Excellent written and verbal skills

A Business/office administration qualification
