Our client is a rapidly growing Transport, Logistics 3PL Logistics specialist located in Melbournes south east.

About the Role

Responsible for maintaining and managing an efficient flow of work, ensuring phone calls and customer queries are attended to in an efficient and timely manner and that excellent lines of communications are maintained ensuring that the Operations Manager is immediately made aware of any problems connected to a job, customer complaint or failure of service. Ensuring the functional areas of corporate administration and management services, such as finance, office administration, systems and procedures, internal communications, property, and all insurances operate efficiently to provide effective support to the company.


Plan and direct the organisation's activities to achieve stated/agreed targets and standards for administration, quality, culture, and legislative adherence.

Liaise with other functional/departmental managers to understand all necessary aspects and needs of administration development, and to ensure they are fully informed of administration objectives, purposes, and achievements.

Establish and maintain appropriate systems for measuring necessary aspects of administration management and development.

Plan, develop and implement strategy for administration management and development to meet agreed organisational performance plans within agreed budgets and timescales.

Maintain awareness and knowledge of contemporary administrational development theory and methods and provide suitable interpretation to directors, managers, and staff within the organisation.


  • Customer specific reports
  • Preparing and updating internal reports / KPIs
  • Data entry on FMS/WMS and preparation on operational reports and Key Performance Indicators.
  • Complete invoice dummy run and live run.
  • Queries regarding billing for Clients.
  • Queries regarding driver pays.
  • Ensuring incoming telephone calls are answered quickly.
  • Inform Fleet Controllers / Operations Manager of any problems with customers.
  • Ensure optimum service levels are always maintained.
  • Liaise with the Fleet Controllers / Operations Manager regarding the fleets performance.
  • Resolve customer concerns informing the Fleet Controllers / Operations Manager of escalated client concerns or complaints.
  • Ensure Safety Compliance Manager is advised of non-conformance/s to be actioned and closed.
