New Opportunity - Receptionist cum Admin Assistant

United Global Capital is looking for Reception/Admin Assistant to join our Elite team in Melbourne.

You will be working with a great enthusiastic and friendly team and be responsible for all aspects of reception, including:

  • Ensure a smooth running of the front desk;
  • Answering all incoming calls with the ability to handle multiple incoming calls at once and transferring appropriately;
  • Meeting and greeting clients as the ‘Director of First Impressions’ with a high level of professionalism;
  • Mail, including morning collection and afternoon posting at the local Post Office and the distribution of mail by way of registers, scanning etc;
  • Handling email and website enquiries;
  • Maintaining and monitoring of staff amenities and supplies (kitchen, lunchroom);
  • Maintaining and monitoring Reception area and Conference rooms;
  • Schedule and organise meetings and conferences which may include event organising;
  • General administration support (copying, faxing, filing etc);
  • Maintaining adequate stationary supplies and levels including photocopier service calls;
  • Scanning and Filing of documents.

To be successful in this position, we are looking for a great team member who can demonstrate the below:-

  • Possess excellent time management skills and have the ability to work under pressure
  • Have intermediate MS Office skills (Excel, Word & Outlook) - experience using XPlan or similar financial planning software will be preferred.
  • Be presentable and outgoing, ensuring the best impression to clients and telephone callers at all times.
  • Strong client relationship skills.
  • Strong referencing around being a positive and supportive team member.
  • Have a high attention to detail and organization skills.
