The Practice
Our client is an established, private surgical clinic based in the heart of the Richmond medical precinct. They are a multi-disciplinary team dedicated to evidence based, quality surgical treatment outcomes for patients. Their surgeons are supported by a professional Personal Assistants, each supporting between 1 - 3 surgeons to ensure the smooth running of their private practice. The clinic staff report to a very hands on and supportive Practice Manager where performance, commitment and dedication to quality service for your surgeon and patients are valued, recognised and rewarded.

The Role
The role of a Personal Assistant in this clinic is recognised as a vital link in the service and treatment chain. As a Personal Assistant you will be tasked with ensuring all aspects of your surgeon's day is carefully coordinated and planned. 
Duties & Responsibilities include:

  • Diary management for your surgeon
  • Co-ordinate and ensure smooth running of consulting
  • Setting patient appointments, confirmation and rescheduling for consultations in rooms and diagnostic imaging services
  • Answering and directing telephone calls incoming and outgoing 
  • Send out appointment reminders (letters, phone calls and/or SMS)
  • Manage theatre lists, HAQ, special equipment requests to relevant parties
  • Monitor upcoming theatre bookings
  • Monitor and respond to all referrals 
  • Correct handling of patient enquiries
  • Process and distribute incoming and outgoing mail
  • Monitoring your surgeon's correspondence for review
  • Financial transactions – invoicing and receipting consultations and surgery (eclipse)
  • Ensure the correct and appropriate use of MBS item numbers
  • Follow up surgery deposits prior to patient surgery date
  • Add and manage recall list for future appointments
  • Follow up of Aged Debtors
  • Follow up of Exceptions within Eclipse and HIC on-line

About You
As an experienced Medical PA/Secretary, you will be experienced with most, if not all of the duties listed above. Attitude is everything, and what makes you truly great though, is your genuine desire to assist patients, surgeons and colleagues in providing a service that is second to none.
