We currently have an exciting opportunity for an experienced Personal Assistant to support our Chief Engineer. This Personal Assistant will provide high level, accurate and timely support to our Chief Engineer and to other elected members of his leadership team as required. This role will require someone who will be confident and engaging with the ability to build strong relationships with colleagues and external stakeholders alike, whilst maintaining a high degree of professionalism. You will be able to predict and support upcoming changes to priorities to ensure the Chief Engineer’s time is well structured to accommodate the competing demands.

As a trusted partner to the Chief Engineer, your responsibilities will include;

  • Partnering with management and employees to improve working relationships, build morale, and increase productivity and retention.
  • Partnering with the People team to support the recruit process.
  • Manage budgets relating to OCE to ensure it is kept within the stated parameters
  • Manage the on boarding process for OCE including procurement of hardware, PPE etc.
  • Strong stakeholder engagement across various key divisions
  • Effectively manage Chief Engineers calendar and set up meetings
  • Manage travel and accommodation arrangements in accordance with MTM policy
  • Manage labour costing and expenses in partnership with Finance to support monthly and quarterly reports
  • Act as SME/Process Champion for critical business systems and support the implementation of these new systems into the OCE department
  • Developing and implementing office policies by setting up procedures and standards to guide the operation of the office
  • Lead and deliver office management projects and events
  • Ensure office efficiency is maintained

In order to be successful you will possess;

  • Completion of Certificate III Business Administration commensurate with supporting senior management (minimum) or equivalent experience
  • Experience in a senior support role at General Management level
  • Proven office management, administrative or assistant experience
  • Excellent time management skills and ability to multi-task and prioritise work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills Advanced Microsoft Office knowledge and skills
  • Knowledge of accounting, data and administrative management practices and procedures
